Build the workflow before the software.

The right workflow reveals what the software should do, not the other way around.

  • Painted above the headline: the eyebrow RICK’S FIELD NOTES.
  • Painted beneath the headline: the byline RICK LOFTON, FOUNDER, COO, CTO, MARKETING DIRECTOR.
  • Painted to the right: the same six-step diagram, OBSERVE, MAP, SIMPLIFY, ASSIGN, BUILD, IMPROVE.

I start with the work, not the tools

The note opens: I sit with the people doing the work every day and watch how information moves, or gets stuck.

  • When we map what actually happens, the friction shows up. Redundancies. Hand-offs that create delays. Decisions that lack ownership.
  • Once the workflow is clear, the right technology becomes obvious. Then the software can be configured or built to support the process, not the other way around.
  • This order saves time. It reduces rework. And it creates systems people actually use.
  • Pulled out in the plate: “Software should support a clear way of working. It cannot create clarity on its own.” Beneath it: “Here is the framework I use at Quill.”
  • Painted in the sidebar: FIELD NOTES BLUEPRINT, a repeatable way to turn complex work into clear systems that scale, and WHAT YOU’LL FIND HERE, listing practical approaches to building better workflows, simple frameworks that reduce complexity, and tools and thinking that help teams move faster.
  • View the blueprintThe blueprint is the diagram painted beside this text. There is no separate page behind it.

The workflow first framework

  • 1 OBSERVE: watch the work in its natural state.
  • 2 MAP: diagram the steps, decisions, and hand-offs.
  • 3 SIMPLIFY: remove waste. Combine steps. Clarify inputs.
  • 4 ASSIGN: define owners for every step and outcome.
  • 5 BUILD: add technology that supports the way you work.
  • 6 IMPROVE: measure results. Refine. Repeat.

Field questions

Use these questions to uncover clarity in your own workflow.

  • 01 What outcome are we trying to achieve?
  • 02 What are the steps from start to finish?
  • 03 Where do delays or rework happen?
  • 04 Who owns each step and decision?
  • 05 What would make this simpler?
  • The plate paints a ruled writing line beside each question. Nothing is typed into them and nothing is recorded, so they are artwork rather than fields.

About this page

What is not shown here, and why

  • The painted site navigation across the top of the hero master was cropped away on a measured row. The category rail directly beneath it is page content and was kept.
  • The pack’s eighth band is a painted News footer. It was dropped whole rather than cropped.
